I.               Hotel check-in and check-out times
We would like to mention clearly that the official check in time in the hotels is 14.00  and check out time is 12.00.
Early check in or late check out will be charged as below:
-          Extra charge for early CHECK IN before 14.00: 100% room charge = one extra night charged
-          Extra charge for late CHECK OUT (until 18.00): 50% room charge
-          Extra charge for late CHECK OUT (after 18.00): 100% room charge = one extra night charged
In some text description, we write the following paragraph: “Welcome at the airport. Transfer to the town. Check in at the hotel”, it does not mean that the early check in is included. All early check in or late check out must be mentioned in the “Service  included” part.
II.              Visa
1.     Vietnam
There are 3 options to choose from to obtain a visa for Vietnam.

1. 100% autonomy, directly from a Vietnamese embassy abroad prior to departure 
In this case, you are in charge of obtaining the visa and carry out the request to a Vietnamese embassy abroad within a timescale allowing time to receive the visa prior departure.

2. With our assistance, directly from a Vietnamese embassy 
We can provide you the visa approval  issued by the Vietnamese Interior Ministry in Hanoi (essential document for requesting a visa in Vietnam).
Documents to provide us: passport details (full name and surname, passport number, nationality, date and place of issue and validity of the passport) to the following address: inbound@hoangviettravel.com
Schedule for delivery: one week
Cost: 10 USD per person
We will send the Vietnamese embassy in your country of residence a visa authorization allowing you to come and collect it before departure.
Documents to provide the embassy:
- 1 photo
- the visa fees
- the visa request form to be completed on site

3 – With our assistance, visa on arrival at one of the international airports in Danang – Hanoi - Saigon 
we can handle visa on arrival at the airport in Hanoi or Saigon at a fee of 8 USD per person for visa approval letter only.

Procedure for visa on arrival.
Make sure each passport has available two blank pages in addition to the back cover for necessary visa stamp.
Validity of passport: In Vietnam passport must be valid 6 month after the date of departure from Vietnam, for other Asian countries, passport must be valid at least 6 months after the planned date of departure from Asia.

Step 1. Request for Visa authorization:
Take note of the information on the participant’s passports: full name, date of birth, nationality. Should be sent to us at least 21 days before the date of departure of the travelers.

This information is required by the Ministry of Public Security, Vietnam, for visa application. The time limit to obtain a visa is 24 hours for an urgent procedure with an added surcharge applied, or 5 working days for normal tourist visas.
It is important to indicate clearly the specific airport in Vietnam where people will get their visa including: airline, time, date , number of the arrival flight.
Once the visa approval letter is issued, we will send you by fax and/or by email.

Step 2. Fill in the M3 forms of visa request:
At the same time, each of the travelers fill in a (1) form M3 of visa request, they must attach a recent identity photo (less the 6 months) on the form. Photocopies of photo are not accepted.
Attention: It is very important to use the same passport number on the form of the visa request. You must keep this form which will be requested at the time of checking-in at airports and on arrival in Vietnam.
Do not send M3 form to the embassy of Vietnam in your country; keep this document with you.

Step 3. Regularization of passports:
When you arrive in Vietnam, you must immediately come to the counter intended for getting visas  before you go to the immigration desks and  before you go through customs. You will proceed to immigration where your must get your passport stamped and pay fee at the airport.  After going through immigration, you will collect your luggage on the conveyor belt and pass through customs.

Remark for the children aged less than 12 years:
For the children aged less than 12 years who are included in their parents’ passports, the visa fee for the <12 year-old children on their parents’ passports is 50% of the visa fee for adults; a recent identity photo (less than 6 months) of the child must be stapled on the form of his/her mother or father whose passport has his/her name.

Special cases: 
Single / multiple-entry: If you are travelling through Vietnam more than once for a combined trip, you must request a multiple-entry visa.
Transit: if the client is in transit for less than 12 hours in Vietnam, no visa is required. Beyond 12 hours, a single entry visa shall be required.
VISA on arrival: in Vietnam only, an authorization is required prior to departure to request a VISA on arrival at one of the international airports.
Land borders: In no case can a visa for Vietnam be issued on crossing a land border. In this case, the VISA must be obtained in advance.
Passport validity: for Vietnam, 6 months beyond returning to the country of origin.

Visa for Vietnam can be obtained during your visit to some border posts. You will find the land border checkpoints list here below. However, we strongly advise all travelers to take care of Visa formalities in advance.

2.     Laos
There are 2 options to choose from to obtain a visa for Laos.

1. Directly on arriving at the international airports of Vientiane and Luang Prabang.
The visa is then valid for 30 days and may be extended for a further 15 days only through a travel agency in Vientiane.
Requested documents:
- the visa request form, available before departure
- 1 photo of less than 6 months
- 30 dollars US in cash (this fee is subject to specific nationality: British: 35US$, American: 35US$, Canadian: 42US$, Sweden: 31US$)
Time for delivery: between 10 and 40 min depending on the number of people requesting it.

2. Directly from a Laotian embassy abroad before departure. 
The visa is valid for 30 days.
Requested documents:
- the visa request form, available before departure
- 1 photo of less than 6 months
- 30 USD  in cash

Special case: 
Passport validity: for Laos, 6 months beyond your return to your country of origin. 

III.            Other information
1.     Climate & Weather
Vietnam's topography varies from coastal plains to mountain ranges, therefore weather in the principle cities are very different. 
North: Winter lasts from November to March, with temperatures averaging 10 - 16C, fogy and drizzle in January - March. Summer begins in April and lasts until October, with an average temperature of 28C. 
Center: Central Vietnam experiences a transitional climate, with heavy rainfalls between November and December and dry, hot summer months. Typhoons are quite common in coastal areas in July and November.
South: Temperatures are fairly constant through the year; 25C - 30C. Only two seasons: the dry season runs from November to April and the rainy season from May to October. The hottest time is March and April. 
Highland areas: In the hill resorts of Dalat (1,500 m), Buon Me Thuot and Sapa, nights are cool throughout the year, and in the winter months, October to March, it can be distinctly chilly with temperatures falling to 0C. Even in the hottest months of March and April the temperature rarely exceeds 26C. 
2.     Currency, Exchange and ATM
The local currency is the Dong (abbreviated "d" or VND). Bank notes are 100d, 200d, 500d, 1000d, 2,000d, 5,000d, 10,000d, 20,000d, 50,000d, 100,000d & 500,000d. Coins are 200d, 500d, 1000d, 2000d and 5000d.

Money and travelers cheques, particularly U.S. Dollars, can be exchanged at banks, hotels and authorized money- exchangers. It is advisable to carry U.S. Dollar bills in small denominations. 
Credit cards are generally only accepted in major hotels, and in some up-market shops and restaurants in major cities. ATM facilities are readily available now in major cities.
3.     Bargaining & Tipping 
Bargaining is advised to do when visit Vietnam. You should ask the taxi driver or motortaxi (xe om) driver for the price of your travel distance made. The same when you go shoppings. When you are surrounded by street sellers, it is better to say no and mind your way.
Tipping is widely practiced and expected 
Porters : VND 5.000 – 10.000 per bag 
Waiters in restaurants: 5-10% of total bill 
Taxi drivers : 10% of total bill 
Tour guides : 
VND 40.000 per person/per day 
Drivers : VND 20.000 per person/per day

4.      Travel Documentation
All clients must possess a valid passport and necessary visas or permits at the commencement of travel. All such documentation is the sole responsibility of the client. Your travel advisor may assist you in applying for the necessary travel documentation upon request. HoangViet Travel accepts no responsibility or liability whatsoever for the failure of clients to obtain appropriate documentation. 
5.      Health Requirements
Clients should take into account all international travel risks and familiarize themselves with health requirements applicable to the areas they intend to visit. The client is solely responsible for checking the safety and security conditions, vaccination, and other health requirements of governments in countries visited or transited. This is a necessary requirement because of the possible effects that the very high altitude may have on certain people.
6.      Luggage Allowance
In accordance with regulations of the General Administration of Civil Aviation of Vietnam, the free baggage allowance within Vietnam is 20kg for the economy class, 30kg for the business class, and 40kg for the first class, plus limited carry-on luggage. Excess baggage charges are the sole responsibility of the client. Regulations within Vietnam specify that all suitcases must have a locking device attached. Failure to follow this regulation may result in refusal by airport staff to load suitcases onto the aircraft.
Noted: the above language allowance not applied with budget Airlines. 
7.      Insurance
HoangViet Travel tour packages not include Vietnam Life Tourist Accident/Casualty Insurance and all insurance are not part of our package or customize or excursion. We highly recommend that you purchase full coverage travel insurance from you country of origin.
8.      Complaints and Claims
Shall you feel unsatisfied with any service HoangViet Travel has provided, please notify your local tour guide or your travel advisor to avoid the potential for similar problems happening again during your trip.
In the event of a complaint or claim for compensation, you must inform us by email, regular mail, or facsimile in writing within 15 days from the end of your tour. Relevant receipts and substantiating evidence must be attached to the letter of claim. HoangViet Travel will not be liable for any claims made later than 15 days after the completion of your tour. 
9.      Communications
You can contact HoangViet Travel via the web form www.hvtravel.com email, fax, or phone. If for any reason, you fail to receive any reply from HoangViet Travel in regard of your tour status within 48 hours from the time you submitted the request for booking, modifying, or canceling a tour, please contact HoangViet Travel customer service center at inbound@hoangviettravel.vn or phone at (++84) 3719 4188 immediately to ensure that we are able to deal with your enquiry under the terms of our Terms and Conditions.

10.     Liability & Responsibility
- HoangViet Travel provides tour information and Vietnam tour bookings. HoangViet Travel publishes travel information and services gathered from the selected quality hotels, air ticket agencies and tour companies & operators. HoangViet Travel will not be responsible for errors, emissions or inaccuracies in information provided by third party providers.
- HoangViet Travel shall not be responsible for any wrongful or negligent or fraudulent, omissions, changes of itinerary, cancellation or the failure of any equipment operated by those suppliers or any other party not directly owned or controlled by HoangViet Travel.
- HoangViet Travel shall not be liable for any loss, injury, or damage to person or property, alteration of itineraries or cancellation in part or in full, caused by climatic conditions, fire, breakdown of machinery or equipment, acts of government or other authorities, wars whether or not declared, civil disturbances, strikes, riots, thefts, epidemics, quarantines, medical or customs regulations, terrorist activities, or any other actions, omissions or conditions beyond HoangViet Travel’s control. Neither HoangViet Travel nor any of its affiliates or subsidiaries shall be or become liable or responsible for any additional expenses of liability sustained or incurred by the tour member as a result of any of the aforementioned causes
- HoangViet Travel is not responsible for a client's failure to comply with customs regulations. 
- HoangViet Travel is not responsible for the theft or loss of any customer's valuables or items of personal property due to the negligence of the customer. 
- HoangViet Travel reserves the right to substitute hotels, flights, or cruise ships, to alter itineraries, or to cancel the tour prior to departure. If HoangViet Travel has cancelled any tour prior to the commencement of the tour, HoangViet Travel is liable for a full refund of the money received from the client.
- Many of HoangViet Travel tour packages include activities which require care and attention. Such activities include boarding and going ashore from boats, climbing hills and entering and exiting tombs and caves etc. You will receive help and advice from our representatives but all activities are undertaken at your own risk. HoangViet Travel, its employees and agents cannot be responsible for any action or event that occurs after its said employees and agents have exercised their duty and taken the necessary care. 
- HoangViet Travel reserves the right to modify or rescind the terms and conditions in whole, or in part at any time with or without notice. 
11.     Modification or Discontinuance of Service 
HoangViet Travel reserves the right to modify or discontinue service to clients who behave illegally or objectionably toward its employees and agents. Offensive behavior includes behavior which is obscene, racially offensive or of a sexual nature.
